Refund & Cancellation Policy

Effective Date: January 1, 2026

Momentum³ is committed to delivering high-quality, structured programs while maintaining clear and fair policies for families. This Refund & Cancellation Policy applies to all Momentum³ programs, including camps, training sessions, MindLAB services, and Athletic Wellness Club offerings. Please review the following Refund & Cancellation Policy carefully before registering for any Momentum³ program, as registration constitutes acceptance of these terms.

 

1. Program Registration

All Momentum³ program registrations are considered final upon receipt of full payment. Space is limited by design to maintain coaching quality, safety, and appropriate athlete-to-coach ratios.

By completing registration and submitting payment, parents or guardians acknowledge and agree to the policies outlined below in this document. All sales are final unless a refund is specifically provided for under the terms below.

 

2. Refund Policy

Refund eligibility depends on the timing of cancellation and the type of program:

Multi-Week Programs and Camps

  • Cancellations made 30 or more days before the program start date → Eligible for a full refund minus a $25 non-refundable processing administrative fee.

 

  • Cancellations made within 15-29 days before the program start date → Eligible for a partial refund or account credit, at Momentum³'s discretion 50% refund or full credit toward a future program within 12 months.

 

  • Cancellations made within 14 days or less before the program start date or after the program has begun → No refunds will be issued. Program credit (25% of paid amount) may be offered at Momentum³’s sole discretion for use within 6 months.

 

Drop-In Sessions and Training Programs

  • Cancellations made 48 hours or more before the session → Full credit toward future sessions

  • Cancellations made less than 48 hours before the session → No refund or credit

 

General Conditions

No refunds or credits will be provided for missed sessions, early withdrawal, or schedule conflicts:

  • Missed sessions due to participant absence or illness

  • Early withdrawal from a program after it has begun

  • Schedule conflicts or changes in participant availability

  • Removal from a program due to behavioral violations (see Terms & Conditions)

  • Participant dissatisfaction with coaching, program content, or other subjective factors

 

3. Medical or Injury-Related Cancellations and Extenuating Circumstances

In the event of an injury or, medical condition, or serious extenuating circumstance (such as family emergency or military deployment) that prevents participation, Momentum³ may offer a partial refund or future program credit or partial refund upon receipt of appropriate documentation (such as a doctor’s note, medical documentation, or other official verification).

 

Decisions are made on a case-by-case basis, documentation must be submitted within 7 days of the circumstances arising. All medical and extenuating circumstance requests are reviewed on a case-by-case basis and are not guaranteed. Approved credits typically expire 12 months from the date of issue.

 

4. Program Changes or Cancellations by Momentum³

Momentum³ reserves the right to modify, reschedule, or cancel programs due to circumstances beyond our control, including: insufficient enrollment, inclement weather, facility unavailability, safety considerations, coach illness or emergency, safety concerns, or other unforeseen circumstances.

 

If Momentum³ cancels or significantly modifies a program:

  • Full Program Cancellation: Families will receive a full refund Participants will receive a 100% refund or credit for the affected portion of the program.

  • Partial Cancellation or Rescheduling: Prorated refund or credit for missed sessions. Momentum³ will make reasonable efforts to reschedule cancelled sessions when possible.

  • Weather-Related Cancellations: Individual sessions cancelled due to weather will be rescheduled when possible. If rescheduling is not possible, a prorated credit will be issued.

 

Momentum³ will notify registered participants of program changes or cancellations as soon as reasonably possible via email and/or phone. We are not responsible for costs incurred due to program changes or cancellations, such as travel expenses or accommodations.

 

5. Specialized Programs (MindLAB & Athletic Wellness Club)

Refunds for MindLAB or Athletic Wellness Club services are subject to the same timing guidelines outlined above, unless otherwise stated at the time of registration. MindLAB and Athletic Wellness Club services follow the refund timelines outlined in Section 2, with the following additional provisions:

  • Package or Multi-Session Services: Unused sessions are prorated based on completed sessions. If fewer than 25% of sessions have been completed, standard refund timelines apply. If 25% or more sessions have been completed, remaining sessions may be credited for use within 6 months or services do not automatically qualify for refunds.

 

  • One-on-One or Small Group Services: Cancellations must be made at least 24 hours in advance to receive credit. Same-day cancellations result in forfeiture of that session.

 

  • Session Expiration: All purchased sessions must be used within 12 months of purchase unless otherwise specified. Extensions may be granted for medical reasons with appropriate documentation.

 

6. Transfers

Program registrations are generally non-transferable between athletes or to different programs. Requests for transfers may be considered at Momentum³'s discretion and are not guaranteed. However, the following transfer options may be available:

  • Athlete-to-Athlete Transfer: Transfers between athletes within the same household may be permitted if requested at least 7 days before the program start date and subject to a $15 transfer fee.

 

  • Program-to-Program Transfer: Transfers to a different program session (different dates or times) may be permitted if space is available and if requested at least 14 days before the original program start date, subject to a $25 transfer fee.

 

  • All transfer requests must be submitted in writing and approved by Momentum³. Transfers are not guaranteed and are subject to availability and program requirements.

 

Credits issued under this policy are non-transferable to other families or athletes outside the registered household.

 

7. Cancellation and Refund Request Process

All cancellation or refund requests, and transfer requests must be submitted in writing via email to the address below. Verbal requests, phone calls, or social media messages will not be processed.

Please include the following information in your request:

  • Athlete’s full name

  • Program name and dates

  • Registration/confirmation number (if available)

  • Reason for cancellation/refund request

  • Supporting documentation (if requesting refund for medical/extenuating circumstances)

 

Refund requests will be processed within 10 business days of approval. Refunds will be issued to the original payment method. Credits will be applied to your Momentum³ account and confirmed via email.

 

8. Payment Plans and Installments

If you are enrolled in a payment plan:

  • Cancellations do not relieve you of payment obligations for installments already due or processed

  • Refund amounts will be calculated based on the total amount paid to date, not the full program cost

  • Future installments may be cancelled upon approval of cancellation request

  • Payment plan participants must notify Momentum³ immediately of cancellation to stop future charges

 

9. No-Show Policy

Participants who fail to attend the first session of a program without prior cancellation notice will be considered a “No-Show.”  No-Shows are not eligible for refunds or credits. If you cannot attend the first session, you must notify Momentum³ in advance to maintain eligibility under this refund policy.

 

10. Waitlist Policy

If a program is full and you join the waitlist:

  • No payment is required until a spot becomes available

  • If offered a spot, you will have 24-48 hours to confirm and pay (timeframe will be specified in notification)

  • Once payment is received, standard refund policies apply based on time remaining before program start

 

11. Policy Updates

Momentum³ reserves the right to update this Refund & Cancellation Policy at any time in its sole discretion. Changes will be posted on this page with an updated effective date and will apply to registrations made after the updated effective date. Registrations made prior to policy updates will be governed by the policy in effect at the time of registration.

 

IMPORTANT NOTICE

By registering for any Momentum³ program, you acknowledge that you have read, understood, and agree to this Refund & Cancellation Policy. This policy is incorporated into and forms part of the Momentum³ Terms & Conditions. Please contact us before registering if you have any questions about this policy.
